Faster email


As time progresses I certainly find that my email clients slow down. I've even been in situations where they have stopped working altogether. My policy used to be to keep all the email until this happened, then try pruning or backing up what I wanted to keep. With the rise in spamming, and the real need to keep on top of this, my policy has changed. Now I try to avoid getting so much email, and also delete more on arrival.

I have tried using various spam killers, such as k9. I've also been strongly recommended spamassassin. They can help, though there may be problems. One spam killer may be incompatible with others, so switching around from one to another may cause problems. Also, other software may interact, so the effort spent into sorting out spam with a tool may be wasted. Some people have spoken highly of the spam killer built into Outlook, but I've not switched to that, so don't know. The only thing which I have managed to do is to stop virtually all unwanted email on some email accounts by setting email acceptance to only accept email from addresses in my address book. This seems to work well, but no-one new can ever send email to those accounts.

Several other things cause problems. Subscribing to mailing lists can generate a lot of mail which in fact never gets read. I keep it in hope rather than expectation. It will probably be deleted at some future date without ever being read. The simplest thing is to unsubscribe from such lists. Review all the lists you subscribe to, and prune them ruthlessly - UNSUBSCRIBE. You can always come back to them later if you really want to.

If you can't bear to do this, then either put in filters so that all subscribed mail gets directed to folders, or alternatively just sort your inbox to group all the mail from each mail list together. If you find you're looking at a screenfull, the chances are you can delete most of it without worrying - you've not read it so far, so why start now!

What you may find if you are ruthless (or even cut back a bit) on your stored email and delete most that you think you'll never need, is that your email client will load up very much faster, and that it will become much easier to handle - until things clog up again. Make a note in your diary to repeat this process in a month's time at the latest.

If you need to keep your email, you can back it up - there are several tools available out there which can do this, though they may be client specific, which is non too clever. You may decide you want to switch email clients during the year, after all, even if you're not thinking of it now. Once you've done the archiving, you may feel much happier about junking most of what's cluttering up your mailbox, leaving you with just a core of essential !? material. The chances are you'll never use your backup CD or DVD anyway.

Lastly, there are some privacy systems, such as McAfee's privacy service, which can really interact badly with email. Unless you are really worried, I'd suggest not installing these, or disabling them. Unless you really need this type of service (perhaps to protect other family members) I'd suggest that it's easier to not install this type of software in the first place, as uninstalling it may require that you completely uninstall all your security software, and then have to re-install the components you really want from scratch yet again.
